Active Flow Aging Report
The Active Flow Aging Report provides a summary of the total number of flows currently active for each flow originator for each of four predefined day categories. The categories include 1-30 Days, 31-60 Days, 61-90 Days, and Over 90 Days. In addition overall totals are provided. This report helps to provide users with a summary of the active work being handled by each originator and can be useful in helping originators meet assignment deadlines and identify bottlenecks. Users may want to filter data for specific originators, types of flows, date ranges, or user defined application data.
Assignment
The Assignment Report provides details regarding each of the assignments assigned to a specific individual. Details include the assignment due date and time, the title of the flow, and the step assigned. Overdue assignments are marked with an asterisk and highlighted in red. Additionally, the total number of active assignments assigned to each individual is included. A graphical representation of the data follows each assignee’ s listing, providing a summary of on time versus overdue assignments. This report helps provide users with a detailed listing of the active work being handled by each individual and can be useful in helping assignees and managers control workloads. This report is typically filtered using a single assignee or a subset of assignees.
Overdue
The Overdue Report provides details regarding all assignments currently overdue in the system. The details include the flow name, step name, due date and time, days overdue, and assignee. This report provides users with an individual "to-do" list. Management could also use the report to track work assigned to a specific area by filtering on specific assignees.
Pending
The Pending Report provides flow detail for all active assignments currently in the system. The details include the flow name, step name, due date and time, days overdue, and assignee. A graphical representation of the data follows the report, providing a summary of on time versus overdue assignments. This report provides users with an individual "to-do" list. Management could also use the report to track work assigned to a specific area by filtering on specific assignees. Overdue assignments are highlighted in red.
Search
The Search Report provides specific detail regarding any flow in the system. Details include the flow start date, flow done date, flow name, public folder location, flow originator, and current recipients. The Search Report can be used to find the folder locations and names of flows selected using specific filters in FlowMetrix. For example, a user could use an application data filter to find all flows related to a particular type of correspondence.
Optional Reports
Completed Flows Active Days Report
The Completed Flows Active Days Report provides a graphical summary of the total number of flows that were active for each of five predefined day categories. Executive Summary
The Executive Summary Report provides a summary of the total number of flows currently active and closed for each flow originator in the system. In addition, active plus closed totals for each of the originators, and overall totals are provided. This report helps to provide users with a summary of the work being handled by each originator. Users may want to filter data for specific originators, types of flows, date ranges, or user defined application data.
Flow Report
The Flow Report provides specific detail regarding each of the flows in the system. Details include the flow name, milestone, start date, done date, originator, template name, step, recipient, response, response date, comments, started/sent date, due date, viewed date, recipient done date, step done date, field name, field value, modify date, and modified by. This report allows the user to track the history of each flow, detailing the who, what, when, and where of each step in the process.
Assignee Cycle Time Report
The Assignee Cycle Time Report provides a graphical summary of the average number of days individuals require to complete specific tasks in a flow. The report can be used to help gauge individual performance. By using filters, this concept can be applied across specific types of flows, date ranges, individuals, and other criteria.
Monthly Cycle Time Report
The Monthly Cycle Time Report provides a graphical summary of the average number of days required each month for all assignees to complete a specific task in a flow. The report can be used to help quickly identify potential bottlenecks or peaks in activity. By using filters, this concept can be applied across specific types of flows, date ranges, individuals, and other criteria.
Quarterly Cycle Time Report
The Quarterly Cycle Time Report provides a graphical summary of the average number of days required each quarter for all assignees to complete a specific task in a flow. The report can be used to help quickly identify potential bottlenecks or peaks in activity. By using filters, this concept can be applied across specific types of flows, date ranges, individuals, and other criteria.
Response Report
The Response Report provides a graphical summary of the number of times each response is selected for a step in a template. The report can be used to identify steps that may be unnecessary. For example, if you have a review step with the capability to accept or reject and you always accept, you should consider removing the step to shorten the process. You can also use the report to measure performance. An internal goal in one department may be to reduce the number of invoices rejected at a particular point in the process to 5%. The report allows the department to measure the current rejection rate for comparison at a later date and time. By using filters, this concept can be applied across specific types of flows, date ranges, individuals, and other criteria.
